a) In order to process your booking, we collect the following data: traveller names, residency, passport or Government issued EU National ID card numbers, telephone numbers, e-mail and IP addresses.

b) To deliver the services you have purchased from us, we collect the following data: passenger name, nationality, gender, phone number, e-mail address, information on special care (sensitive personal data), flight details, confirmation number, date of birth, details of travel documents,

c) To facilitate the purchase of third parties’ services or products on our website. For this purpose we collect the following data: passenger name, nationality, gender, phone number, e-mail address, information on special care, flight details, confirmation number, date of birth, details of travel documents.

d) To communicate with you regarding the services you purchased from us we collect and may use the travellers name and contact details, their travel itinerary, departure and arrival times, number of passengers, selected services, accommodation details. We log the telephone number you use for contacting us and record the details of the communication.

e) To send you reminders about your travel details we collect and may use the travellers name and contact details, their travel itinerary, departure and arrival times, number of passengers, selected services, accommodation details.

f) To send you newsletters. For this purpose we collect the following data: name and contact details, details of your historical bookings and searches.

g) To provide offers tailored to your preferences. For this purpose we collect the following data: name and contact details, details of your historical searches and historic booking details. We collect various technical information on using our Website (IP addresses, entry (login) data, browsers’ type and version, time zone settings, data of the operating system and platform).

h) To communicate with you to carry out customer satisfaction survey for analytical purposes, for quality improvements, for service developments, to improve our service offerings to your needs. For this purpose we collect the following data: name and contact details and historic booking details.

i) To support administrative and legal purposes for example anti-fraud screening, for safety and security purposes. For this purpose we collect the following data: passenger name, address, phone number, IP address, geolocation data, booking and transaction history.

j) To comply with the mandatory provisions of the applicable laws. For this purpose we collect the following data: personal data related to immigration and customs control, personal data related to invoicing, data related to persons requesting special assistance; personal data related to our obligations in case of flight disruption or flight delay.

Sensitive personal data: in certain cases we also need to process special categories of personal data (sensitive personal data), e.g. health related data, for example when you request special assistance for a flight and/or in relation to your accommodation, or when you provide us with information about your fitness for fly (for instance if you are pregnant, or allergy information) for safety reasons. To process your sensitive personal data we will need to obtain your specific consent, otherwise, we may not be able to provide you with the requested service(s).

  1. Consequences of refusal/failure of providing personal data

Please be aware that we need the personal data listed in Section 4 a) in order to perform the General Conditions of Carriage and provide you with our services. If you do not provide us with the requested personal data we will not be able to provide you with all or parts of the services you have requested.

If you withdraw your consent or do not provide the consent for the use of your sensitive data mentioned in Section 4 above, we may not be able to provide all or parts of the services you have requested. Please note that in these circumstances you will not be able to cancel or obtain a refund of any fees you have paid.

  1. Persons authorized to process personal data

Only persons who have responsibilities to provide you the services and/or are working on the processes we listed in Section 4 above will have access to and will process your personal data or your sensitive personal data at Beontrips. These persons are i) the Customer service manager(s), whose activity aims at the maintenance of contact between the Company and passengers for the perfect delivery of travelling services, ii) the Operations manager(s), his/her aim is to ensure the optimal and customized operation of the Website as well as the full operations of the data controlling and booking systems, and iii) the Sales and marketing manager(s), their aim is to provide the services purchased from us and to promote the purchase of related services to be delivered by our partners.

  1. Data processing and transfer

For using certain services offered on the website we collect personal data in relation to you, which data have directly been provided for us (or for our intermediary) by you or collected by us when you use our services or purchase services of third parties.

We may transfer your personal data for third parties to process your personal data for the objectives specified in this Policy

(i) to third party service providers whose services have been purchased by you on our website or through our application or our telephone helpdesk service,

(ii) to airlines and hotel operators whose services are included in the travelling package purchased by you,

(iii) to credit card companies and payment service providers for processing financial transactions initiated on our Website or through our application or telephone helpdesk service,

(iv) to third parties carrying out surveys on our behalf,

(v) to other third parties, with whom we cooperate for data processing, among others,

(vi) to other third parties, for instance to law offices and courts for the enforcement or application of the contracts concluded with you,

(vii) to authorities and law enforcement bodies (for instance police and regulatory agencies) upon request and in compliance with relevant laws or

(viii) to third parties for the provision of call center services for us. Our call center processes your personal data in accordance with this Privacy Policy and applicable law.

Buyer’s invoicing data (name, address), description and price of the purchased service. Invoicing data required to the issue of the invoice for making out the invoice. Until the data subjects withdraws his consent, and in the absence thereof the personal data will be deleted by the Company in 5 years, after the termination of the contractual relationship between the Company and you under section 6:22 of act V of 2013 on the Civil Code.

If the Company is bound to retain the data under section 169 of act C of 2000 on accounting, then the Company will delete the data irrespective of the consent of the data subject only after 8 years following the termination of the contractual relationship. Storage of your personal – and booking data will fall within the scope of the liability of TravelCompositor (Travel Compositor SL, CR. Valldemossa, Parc Bit Esc. A 1-1, Palma de Mallorca 07121, Spain), the place of the data storage is Ireland.

We comply with obligations under the applicable data protection laws by (i) keeping personal data up to date, (ii) storing and destroying it securely, (iii) not collecting or retaining excessive amounts of data (iv) protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect personal data.

Beontrips and Travel Compositor will take the required technical and organizational measure to ensure that your personal data are protected from accidental or unlawful deletion, accidental loss, modification, illegal transfer or unauthorised access – in particular, where the transfer of data over the network is a part of the data control – and to filter out any other unauthorized form of the data control. We give special attention to the secure transfer of personal and financial data. Such data are transferred from your computer to the server of handling Beontrips bookings through an encoded channel by using the most Secure Socket Layer (SSL) technology.

In case we transfer personal data to a country outside the European Union, we intend but we are unable to guarantee that personal data will be protected in compliance with the data protection legislation of the EU. If you continue to use our services and you provide any personal data for us, you will explicitly consent to such transfer, storage and processing of your personal data outside the country of your own residence and European Economic Area, including any country where the local legislation will possibly provide fewer rights for you.

Beontrips and TravelCompositor cannot undertake guarantee for the absolute security of your personal data, therefore, please assist us in the protection by not using an obvious login name or password and by changing your password for time to time, in addition, we also request you not to allow access to your password for other persons. Beontrips and TravelCompositor cannot assume liability for personal data that you have disclosed to other persons.

  1. Legal grounds of the data control

The Company handles personal data listed in section 4 and special personal data in accordance with Regulation number 2016/679 of the European Council, General Data Protection Regulation.

  1. Rights of data subjects and enforcement of their rights

Pursuant to the applicable data protection law you may have the right:

(a) to request information on the control of personal data

You may have the right to obtain from us confirmation as to whether or not personal data concerning you is processed, and, where that is the case, to request access to the personal data.

(b) to request correction of personal data

You may have the right to obtain a copy of the personal data undergoing processing. We may request additional information from you for identification or for further copies requested by you, we may charge a reasonable fee based on administrative costs. You may have the right to obtain from us the rectification of inaccurate personal data concerning you. Depending on the purposes of the processing, you may have the right to have incomplete personal data completed, including by means of providing a supplementary statement.

(c) to request deletion or blocking of personal data, with the exception of mandatory data control.

Under certain circumstances you may have the right to request from us the erasure of your personal data and we may be obliged to erase such personal data. In such cases we will not be able to further provide you with our services.

(d) to request restriction of processing of personal data,

Under certain circumstances you may have the right to object, on grounds relating to your particular situation, at any time to the processing of your personal data, including profiling, by us and we can be required to no longer process your personal data. Moreover, if your personal data is processed based on our legitimate interest, you have the right to object at any time to the processing of personal data concerning you for such purpose.

Under certain circumstances you may have the right to receive your personal data, which you have provided to us, in a structured, commonly used and machine-readable format (i.e. in digital form) and you may have the right to request the transmission of those data to another entity without hindrance from us, if such transmission is technically feasible

When the processing of your personal data is based on your consent, you can withdraw your consent at any time without giving any reason to us, free of charge by clicking the link provided in each newsletter. The withdrawal of consent does not affect the lawfulness of processing based on consent before its withdrawal.

The controller is required to provide clear information in writing within the shortest possible time following the submission of the request; however, no later than within 25 days.

If the controller fails to fulfil the request of the data subject regarding correction, blocking or deletion, the controller shall provide the actual reasons and legal grounds for rejecting the request submitted in connection with correction, blocking or deletion within a period of 25 days following the receipt of the request.

The data subject may seek remedy against the controller at the court of law in the case of violation of his rights. The complaint may be lodged to the regional court with competence according to the residence or abode of the data subject, at the option of the data subject.

The data subject acknowledges that in the case of succession, the successor of the data controller will be entitled to continue the data control of the data subject in accordance with this privacy policy.
